Job Description: |
Working Conditions:
This is a project-based position, contingent on project duration and funding.
The role is primarily office-based but may require occasional travel to field locations.
Job Purpose:
The Admin and Data Entry Officer will be responsible for managing daily administrative operations and ensuring timely, accurate data entry for the PSRP project. This role supports effective coordination with the Project Office, Department of Education, and other stakeholders while maintaining organized records, facilitating procurement, and ensuring compliance with financial and operational procedures.
Key Responsibilities:
1. Coordination & Communication
- Act as the administrative liaison between the Project Office, Department of Education Team, and other relevant stakeholders.
2. Data Entry & Database Management
- Accurately enter and update data into computerized systems related to student enrollment, school infrastructure, teacher records, monitoring visits, training attendance, and other PSRP indicators.
- Ensure data integrity, completeness, and consistency in all project-related databases.
- Perform regular backups and maintain confidentiality of all sensitive project data.
- Generate summary reports and data extracts as required by the management or reporting deadlines.
3. Administrative Support
- Provide day-to-day administrative support to the project staff, including travel arrangements, meeting logistics, and clerical tasks.
- Maintain hard and soft filing systems for incoming and outgoing correspondence, reports, attendance registers, inventory, and HR documentation.
- Assist in the organization of project events, trainings, and field activities.
4. Financial and Billing Support
- Prepare and process bills, vouchers, and financial requests to be submitted to the Head Office.
- Maintain proper documentation and logs of all financial transactions and ensure timely submission for approvals and reimbursements.
- Support monthly financial reporting, expense reconciliation, and record-keeping in compliance with organizational finance procedures.
5. Procurement & Asset Management
- Assist in the procurement of goods and services in line with the PSRP project requirements.
- Maintain inventory records and oversee the distribution of items to schools and field offices.
- Ensure assets are logged, tagged, and tracked effectively.
6. Report & Presentation Preparation
- Prepare draft reports on administrative activities, project performance, and field operations.
